Privacy Policy
Delcon Design and Construct
Delcon Design and Construct Pty Ltd is committed to protecting personal information. This policy explains what information we collect, why we use it, when we disclose it, and how you can contact us about your information. It also describes the email notifications sent by our internal AP3 accounts-payable system.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). The APPs guide how we collect, use, disclose, store, secure and dispose of personal information. You can read the APPs on the Office of the Australian Information Commissioner website at www.oaic.gov.au.
What personal information we collect and why
Personal information is information or an opinion that identifies an individual. The information we collect may include names, postal addresses, email addresses, telephone numbers and facsimile numbers.
We may obtain personal information through correspondence, telephone calls, facsimiles, email, our website at www.delcon.net.au, cookies, publicly available sources and third parties. Links from our website may lead to third-party sites whose privacy practices we do not control.
We collect personal information primarily to provide our services, communicate with clients and provide information about our services. We may also use it for related purposes that you would reasonably expect, and for marketing where permitted. You may unsubscribe from our mailing or marketing lists at any time by contacting us in writing. Where appropriate and practicable, we will explain why we collect information and how we intend to use it when we collect it.
Sensitive information
Sensitive information includes information or opinions about matters such as racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, trade union or professional association membership, criminal record and health information.
We use sensitive information only for the primary purpose for which it was obtained, for a directly related secondary purpose, with your consent, or where required or authorised by law.
Information from third parties
Where reasonable and practicable, we collect personal information directly from you. In some circumstances, a third party may provide information to us. When that happens, we take reasonable steps to make you aware of the information provided, where appropriate.
Disclosure of personal information
We may disclose personal information to third parties with your consent, where required or authorised by law, or to service providers that help us deliver our services. These service providers include providers of cloud hosting, document processing and email delivery used by our internal systems. Information may be processed by those providers as part of providing their services to us.
AP3 email notifications
Our internal AP3 accounts-payable system sends authorised Delcon staff operational emails about invoices they submit. AP3 uses a Delcon-controlled Google account, delconadmin@gmail.com, with Gmail's send-only permission (gmail.send) to send these messages. AP3 does not use that permission to read the Gmail inbox or contacts.
An AP3 notification may include the nominated Delcon work email address, the invoice filename, AP3 receipt number, processing status and any action required from the recipient. The invoice document is not attached to the notification. During the current pilot, a Delcon accounts-payable administrator may receive a copy for operational oversight. Google processes the outbound email to provide the Gmail service.
AP3 records Gmail message identifiers and notification delivery attempts or outcomes against the relevant submission for support, audit and duplicate-notification prevention. The Gmail authorisation credential is stored in Google Cloud Secret Manager, with access limited to authorised AP3 services and administrators. We do not sell information obtained through this Gmail permission or use it for advertising or to train general-purpose AI models.
Security and retention
We store personal information in a manner designed to protect it from misuse, loss, unauthorised access, modification and disclosure. When information is no longer needed for the purpose for which it was obtained, we take reasonable steps to destroy or permanently de-identify it, unless we need to retain it for legal or business reasons.
Most personal information in client files is kept for at least seven years. AP3 submission and notification records, and messages retained in the Delcon-controlled Gmail account, are kept in accordance with applicable operational, accounting and legal requirements. Contact us if you would like to ask about a particular record or request its deletion; some records may need to be retained.
Access to your personal information
You may request access to the personal information we hold about you, or ask us to update or correct it, subject to applicable exceptions. Please contact us in writing. We do not charge a fee for an access request, but may charge an administrative fee for providing a copy. We may ask you to confirm your identity before releasing information.
Accuracy of information
We take reasonable steps to keep the personal information we hold accurate, complete and up to date. Please tell us if your information changes or you believe it is inaccurate so we can update our records.
Changes to this policy
We may update this policy from time to time. The current version is available on our website.
